Centralised Indents, Live Inventory, One Zoho Creator System

The client is a fast-scaling preschool chain operating across multiple Indian cities. As new centres opened, operational needs increased in parallel – books, uniforms, stationery, teacher kits, and promotional material were being ordered and managed independently by each location.

The organisation needed a system that could standardise procurement, track inventory, and move approvals into a single, auditable workflow, without adding complexity for centre teams.

Challenges

Daily execution revealed gaps that directly impacted planning and budgets:

  • Indent requests raised on email, calls, or chat threads
  • Inventory updates shared manually by each centre
  • Multiple spreadsheets maintained for procurement and vendor payments
  • Inconsistent visibility of stock levels and consumption trends
  • Unplanned ordering leading to both stock-outs and surplus inventory
  • Approval delays due to offline follow-ups
  • No reliable way to plan replenishment by centre, SKU, or timeline

Procurement and classroom operations were running, but not in the same system or cadence.

Solutions

XAAS Genie implemented Zoho Creator to unify the complete procurement-to-consumption cycle across all preschool locations.

The deployment connected:

  • Centralised procurement planning
  • Centre-wise indent creation and approval routing
  • Auto-generated GRNs and stock allocation
  • Consumption-based reorder triggers
  • Vendor invoice and payment tracking
  • Financial sync using Zoho Books & Zoho Mail
  • Dashboards for stock movement, approvals, and budget health per centre

The system reflected real workflows already followed at centres with structure added through digitisation and automation.

Results

After implementation, operational tracking and financial reconciliation moved into one shared timeline:

  • 100% digital and traceable indent requests
  • Live inventory view for academic, operational, and promotional SKUs
  • Fewer stock-outs through consumption-based reorder alerts
  • Reduced surplus ordering due to accurate usage trends
  • Faster approvals via mobile and role-based routing
  • Automated vendor-wise purchase and payment reconciliation
  • Direct order → GRN → dispatch → invoice reflection in finance
  • Controlled replenishment delivering measurable savings

Teams could now verify stock, approvals, and consumption without manual chasing, and finance received dispatch data without month-end spreadsheet consolidation.

For multi-location education networks, procurement efficiency is about ordering predictably and tracking continuously.

This project reinforced a core requirement for distributed preschool operations:

  • Centres need autonomy in execution, but leadership needs central visibility
  • Inventory planning must follow consumption velocity, not manual reminders
  • Finance reconciliation must move at the same speed as GRNs and dispatch events
  • Growth must remain operationally scalable without increasing administrative overhead

With Zoho Creator implemented by XAAS Genie, procurement, stores, centre operations, and finance now run in one system. Delivering accurate, auditable, and timely information that scales with each new centre added.

XAAS Genie continues to support educational networks in building process-aligned, low-code operational systems that unify stakeholders, reduce leakage, and deliver financial clarity in real time. Proving that digital transformation in distributed education is a workflow decision first, and a technology decision second.
